Frequently asked questions
Have more questions? Please contact us, we're here to help!
- What is an organization?
Organizations are the top-level grouping of users, databases and billing settings for your account. Organizations typically represent your company, school or district. We ask that users from the same real-world organization maintain a single organizational account with Assetbots. We support multiple databases per organization with individual permissions per database to allow for fine-grained control of your account.
- What is a database?
A database is a workspace for all your data, including assets, people, locations, checkouts, reports, and more. Some plans allow you to create and maintain multiple databases per organization – for example to allow different departments or schools to manage their assets independently.
- Can I get a discount?
We do not currently offer any non-profit or other discounts. We are happy to offer competitive, no-nonsense pricing to all our customers.
- What is an asset?
An asset is any valuable thing you want to keep track of. Some common examples include computers, cameras, office equipment like copy machines, vehicles, tools, and so on. If you have something valuable and you would like keep a record of it, then it is an asset.
- What is a bot?
A bot is an automated workflow that performs custom actions on your database. Bots can be configured to send emails and text messages, automatically apply labels, check in lost assets, set default due dates, and more.
- What is a location?
A location is any place with a name. You can assign assets to a location like Conference Room, or to a place like Main Office, 123 Main St, Anytown, USA.
- What is the difference between a person and an administrator?
A person is anyone you assign or check out assets to. An administrator (also referred to as a member) is someone that logs in to your Assetbots database. If you think of Assetbots as a library, a person is a patron that checks out books, while an administrator is a librarian.
- How do I import my data from another system?
We offer a powerful import tool that will allow you to import and customize your database all in the same place. Open your database and visit Settings > Import Data to get started.
- How do I upgrade my plan?
If you are an administrator of your organization, you can manage your plan and billing settings here. All upgrades are prorated, which means you will be charged the difference between your current plan and your new plan immediately, but your renewal date will remain the same.
- How do I downgrade or cancel my plan?
We offer easy self-serve downgrades and cancellations. If you are an administrator of your organization, you can manage your plan and billing settings here. All downgrades are prorated, which means your plan will stay active until the end of your term. If you switch from an annual plan to a monthly plan, the switch will become effective at your next renewal.
